We understand that plans can change. When you book a trip with Queer Travel Club, we make commitments to accommodation providers, transport operators, local guides, activity providers and other travel partners on your behalf. Some of these costs are paid in advance and may become non-refundable as the departure date approaches.

Our cancellation charges reflect the costs and losses we are likely to incur when a booking is cancelled, including amounts committed to suppliers and the reduced opportunity to resell your place.

Trip-Specific Cancellation Terms

Each Queer Travel Club trip may have its own cancellation terms based on the arrangements and payment conditions agreed with our accommodation providers, transport operators, local partners and other suppliers.

The cancellation terms displayed on the specific trip page and provided at the time of booking form part of your booking terms and take precedence over our general cancellation policy.

Please make sure you read the cancellation terms for your chosen trip before completing your booking.

Where a trip does not have specific cancellation terms, our General Cancellation Policy will apply.

Our General Cancellation Policy

Where no trip-specific cancellation terms apply, the following standard cancellation charges will apply:

Cancellation 121+ days before departure: 10%
91–120 days: 25%
61–90 days: 40%
46–60 days: 50%
31–45 days: 65%
16–30 days: 80%
15 days or less: 100%

Any non-refundable deposit paid at the time of booking is separate from the cancellation charge and will not ordinarily be refunded, subject to your statutory rights.

The applicable cancellation charge is determined by the date we receive your written cancellation request.

Cancelling Your Booking

Cancellation requests must be made in writing to Queer Travel Club.

Once we receive your cancellation request, we will confirm the cancellation and any applicable charges in writing.

If you choose not to travel, are unable to join the trip, arrive after the scheduled departure, or leave the trip before it ends, this will normally be treated as a cancellation and the applicable cancellation terms will apply.

Unavoidable and Extraordinary Circumstances

You may have the right to cancel your booking without paying a cancellation charge where unavoidable and extraordinary circumstances occur at your destination or its immediate vicinity and significantly affect the performance of the package or the transport of passengers to the destination.

Where this right applies under the Package Travel and Linked Travel Arrangements Regulations 2018, you will receive a full refund of payments made for the affected package, in accordance with the applicable legislation.

Changes to Your Booking

If you need to change your booking rather than cancel it, please contact us as soon as possible.

We will always do our best to accommodate changes, subject to availability. Additional costs may apply where changes result in charges from our suppliers or other travel partners.

Changes cannot always be guaranteed and, depending on the circumstances, may be treated as a cancellation and rebooking.

If Queer Travel Club Cancels Your Trip

In certain circumstances, we may need to cancel a trip. This may include circumstances where the minimum number of travellers required to operate the trip has not been reached or where unavoidable and extraordinary circumstances prevent us from operating the trip.

Where we cancel a package in circumstances covered by the Package Travel and Linked Travel Arrangements Regulations 2018, you will be entitled to the rights and refunds provided for under those Regulations.

Travel Insurance

We strongly recommend purchasing comprehensive travel insurance as soon as you book your trip.

Your policy should include cover for trip cancellation and curtailment, medical expenses, missed departures, baggage and other circumstances that could affect your ability to travel.

If you need to cancel for a reason covered by your insurance, you may be able to recover some or all of your cancellation costs through your insurer.

Your Statutory Rights

Nothing in this cancellation policy affects or limits any rights you have under applicable UK consumer protection or package travel legislation.

Where your statutory rights provide for a refund or other remedy, those rights will apply regardless of the cancellation charges set out above.
