By booking with Queer Travel Club, you’re agreeing to our Terms & Conditions below. Please read below trip policies and terms for keeping everyone safe, happy, and cared for while we travel together.

These Terms & Conditions apply to all bookings made with Queer Travel Club (“we”, “us”, “our”) for group trips and experiences. By booking a trip, you (“the traveler”, “you”) confirm that you have read, understood, and agreed to these Terms & Conditions.
 

1. Booking & Payment

1.1 A booking is confirmed once the required deposit or full payment has been received and written confirmation issued by Queer Travel Club.
1.2 Payment schedules, deposit amounts, and deadlines will be communicated at the time of booking.
1.3 Failure to pay the balance by the stated deadline may result in cancellation of your booking, with applicable cancellation charges applied.

2. Pricing

2.1 All prices are quoted in GBP unless otherwise stated.
2.2 Prices are based on current costs, supplier rates, and minimum group size. We reserve the right to make reasonable price adjustments prior to final payment due to circumstances beyond our control (e.g., currency fluctuations, fuel surcharges, or supplier changes).
2.3 Once full payment has been received, prices will not be increased.

3. Cancellation by the Traveller

3.1 Cancellations must be notified in writing.
3.2 Cancellation charges apply as follows (unless otherwise stated at booking):

Deposit: non-refundable (unless stated) 

Cancellation after final balance due: up to 100% of the trip cost may be charged
3.3 We strongly recommend purchasing comprehensive travel insurance to cover cancellation, illness, or unforeseen circumstances.

4. Cancellation or Changes by Queer Travel Club

4.1 We reserve the right to cancel or amend trips due to circumstances beyond our control, including but not limited to safety concerns, insufficient bookings, political or environmental events, or force majeure.
4.2 In the event of cancellation by Queer Travel Club, you will be offered a refund or alternative options where possible.
4.3 We are not responsible for additional costs incurred by you (e.g., flights, visas) as a result of trip cancellation or changes.

5. Travel Insurance

5.1 Comprehensive travel insurance is mandatory and must include cover for medical expenses, emergency evacuation, trip cancellation, and personal belongings.
5.2 Proof of insurance may be requested prior to departure.

6. Travel Documents & Health

6.1 You are responsible for ensuring you hold valid travel documents (passport, visa, etc.) required for your trip.
6.2 You are responsible for meeting all recommended vaccinations and health requirements for your destination.
6.3 Queer Travel Club is not liable for losses incurred due to failure to meet entry or health requirements.

7. Health, Fitness & Participation

7.1 You confirm that you are physically and mentally fit to participate in trip activities.
7.2 You must disclose any medical conditions, allergies, or accessibility needs prior to travel.
7.3 We reserve the right to decline participation or remove a traveller from activities if their behaviour or health presents a risk to themselves or others.

8. Conduct & Community

8.1 Queer Travel Club trips prioritise safety, respect, and care for travelers, staff members, partners and locals we interact with on the trip.
8.2 Discriminatory, abusive, or unsafe behaviour will not be tolerated.
8.3 We reserve the right to remove any traveler whose conduct negatively impacts the group or local communities, without refund.

9. Accommodation & Transport

9.1 Accommodation details are subject to availability and may be substituted with comparable alternatives if necessary.
9.2 Room-sharing requests will be accommodated where possible but cannot be guaranteed.
9.3 Transport schedules and itineraries may change due to local conditions.

10. Photography, Filming & Marketing

10.1 Photographs and video recordings may be taken during trips for marketing and promotional purposes (website, social media, newsletters, printed materials).
10.2 Travelers who do not wish to appear in marketing materials must notify Queer Travel Club in writing prior to departure.
10.3 Consent can be withdrawn or limited at any time; reasonable efforts will be made to comply.

11. Liability

11.1 Queer Travel Club acts as an organiser and facilitator and is not liable for injury, illness, loss, damage, delay, or inconvenience caused by third-party suppliers or events beyond our control.
11.2 Participation in trips is at your own risk.

12. Complaints

12.1 Any issues during a trip should be raised with the trip host immediately.
12.2 Formal complaints must be submitted in writing within 28 days of trip completion.

13. Governing Law

13.1 These Terms & Conditions are governed by and interpreted in accordance with the laws of England and Wales.
